Your role in helping us shape the future:

In this role, you will manage food and service contracts such as: food and beverage services, office supplies, first aid supplies, document retention, computer, data and server room cleaning. You’ll also coordinate and oversee building projects, building maintenance as well as oversee building events in the Chicago and Bensenville offices.

Are you up to the challenge?

  • Food and Beverage Services:
    • Manage and interact with the management of food service and beverage vendors at Intelsat’s Chicago office  
    • Hold regular meetings with the Manager and District Manager to discuss monthly invoice, food serve and beverage programs and issues, if any 
  • Mail and shipping service - Manage and assist with the distribution of mail and shipping at the Chicago facility
  • Work with the onsite third-party property management firm and its janitorial staff to make sure the premises have been cleaned in accordance with a Class A office building. For Bensenville, work with the third-party janitorial staff to make sure it is cleaned in accordance with Intelsat’s standards.  In conjunction with the COVID task team, coordinate the disinfectant efforts at the Chicago and Bensenville offices
  • Coordinate with the Facilities Coordinator the visitor registration at the Chicago facility
  • Prepare PO's for the administration of facilities related issues
  • Maintain an accurate database of all occupied and vacant offices in the Chicago facility.  Schedule moves as needed
  • Work with HR on Facilities' onboarding for new staff members
  • Work in conjunction with the Security Manager to coordinate life safety, badging and security efforts at the Chicago facility
  • Document Retention: 
    • Work with department management to help coordinate their document retention needs    
    • Manage the Document Retention Service Contract for the offsite location. Interact with the Management / Account Manager of the Company 
    • Coordinate all shipping and receiving of documents to the offsite storage  
    • Be able to lift packages/boxes up to 25 pounds


Can you drive these processes?

Chicago Building Events: 

    • Coordinate and oversee all receptions held by Intelsat Departments  
    • Prepare Coordination Memo and floor plan(s) and distribute to appropriate Departments in order to insure a successful event  
    • Develop invoices or charge-backs to the appropriate parties for expenses resulting from the use of the Building for special events
    • Utilization of the CAD Application


You should definitely have:

  • Business Administration Degree or equivalent experience would be helpful
  • Knowledge in OSHA and ADA standards
  • Ability to work independently and under time sensitive deadlines
  • People skills are necessary to provide a high level of customer service and proven ability to negociate and provide creative solutions or resolve issues with diplomacy
  • Computer skills and familiarity with Microsoft Office Software and CAD application
  • The ability to manage multiple projects at any given time and be able to provide analytical and operational feedback on a daily basis
  • The ability to assist in developing strict cost control mechanisms to ensure that Gogo maximizes its facility expenditures without sacrificing brand standard
  • Capacity to juggle multiple small projects on a daily basis
  • Ability to think analytically and “outside the box” for ways to improve processes and cost saving initiatives
  • Ability to analyze data and act on findings
  • Ability to effectively establish working relationships with both internal and external groups
  • Ability to speak proficiently and professionally both over the phone and in person
  • Ability to manage priorities and workflow
  • Ability to process work at a fast pace
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
  • The ability to maintain high level of discretion with confidential information
